Questions to Ask Before Booking a Venue

October 11, 2016

Before Booking Any Venue their are many questions you need to ask yourself and the venue you have in mind.  Booking your venue really sets the tone for your wedding and is the first major decision you will make for your wedding.  We have made a list of questions to ask before you book your venue and sing on the dotted line.

What to Ask before Booking Your Venue

Booking Your Dream Wedding Venue

How many guests are you planning to have?

This is a crucial question before booking a Venue.  Make sure you book a Venue big enough or small enough for your wedding. If you’re planning on an intimate wedding of 50 people you don’t want a ballroom,

  1. What style of wedding are you planning to have?
  2. If you’re looking to have a modern wedding you don’t want to book at a rustic vineyard.
  3. Does your Venue have a food and beverage minimum?
  4. Lots of Venues do and it’s good to know if you will hit the minimum. If you’re not close to hitting the minimum you can negotiate the minimum before you sign your venue contract.
  5. Wedding Venue
  6. What are the type of Chairs, Lines, and Tables that come with booking the Venue?
  7. Chairs and linens can get pricey when you start to have over 100 people. You may be able to cut some cost if the venue already offers the type of chairs, linens, and tables you want. Most venues provide the standard white lines and napkins. Some venues may have more colors to choose from and this can really add value booking one Venue over another.
  8. Dose your venue have time restrictions?
  9. If you are booking a venue with outside space, they may have a cut off time. Some hotels will not go past 12AM for an outdoor space. If you are booking a private home they may have noise restrictions after a certain time, or you may need a permit.
  10. How long will you be able to use the space?
  11. For a wedding reception you really want a venue that you will have access to the whole day of the wedding. Vendors will need time to set-up load-in and load-out.
  12. What is the cancelation policy?
  13. This is usually in the fine print, but it’s good to know. Many Venus will give you your money back if you cancel within a certain amount of time.
  14. What is the tax-and service charge?
  15. If your Food and Beverage Minimum is $30,000.00 your tax and service can be $3,000.00 or more.
  16. Can you hire your own vendors?
  17. Some Venues only let you hire form the list of their preferred vendors. If you have fallen in love with a florist and they are not on the list, chances are you won’t be able to use them so make sure you know this before signing the contract.
  18. Is parking included?
  19. Some venues, especially at hotels do not include valet and that’s an extra cost to you or your guests. Some Valets can cost upwards to $14.00 per car. That can add up fast!
  20. Do they have any restrictions?
  21. Believe it or not some venues don’t allow children, or require a babysitter to be hired, among other restrictions.
  22. Can you use your own caterer, and if you have food restrictions can they accommodate them?
  23. For example, if you need to have a Kosher Wedding, you want to make sure they use a repeatable Kosher Caterer, if you talk about this before signing the contract and you would like to use your own you may be able to negotiate this into your contact.
  24. Do they have any construction or changes to the venue coming up or around the date you are booking?
  25. If the answer is yes, you want to know exactly what they will be doing and if it is something you’re ok with.
  26. Find out everything that is included in the price.
  27. If you are having your ceremony at the Venue they may charge you a ceremony fee.  Do  they have a cake cutting fee? Do they have Security? Any rental fees? Etc.

BEHIND THE Wedding

MEET Victoria

Growing up, my mother had a dinner party for just about everything. She would make name cards, put out her best china, let me help her pick flowers, and always cook something spectacular. She taught me, “Presentation is everything.” Long-story-short, the attention to detail, organization and joy that give me my knack for event-planning are in my blood (because truly, I got it from my Mama). My whole life I’ve had a passion for all the elements that make events experiences. Beyond that, I’ve always been told that I throw a really effing fun party, so I decided to leave my career in hospitality and pursue event-planning for real.

What I’m told draws many of my clients to me is my eye for the details, understanding of who they are, and calm attitude even when things get crazy. What keeps me so fulfilled is my relationships with my clients themselves. Nothing makes me happier than working with a couple to make a vision come to life and genuinely having fun all along the way.

Thanks for learning a little bit about me; I look forward to learning a little bit about you!
